
We have constructed your mailbox service with additional capabilities. You have an initial or main greeting that tells the caller which sub-mailbox or mailbox extension belongs to whom. For example, your main greeting might say:
Thank you for calling the Smith Company. All of our lines are busy, or it is after our normal business hours. Please select the person for whom you want to leave a message from the following list. To leave a general message for the Smith Company, press 11. To leave a message for George Jones, press 12. To leave a message for Sally Smith, press 13. For Sam Adams, press 21, and for Jane Austin, press 22. Thank you for calling the Smith Company.
Before you setup your voice mailbox, someone should first create the main greeting and inform everyone what their sub-box number is. When you call your main number, enter the one, two, or three-digit number for your sub-box. You will hear the beginning of the tutorial:
“Welcome to the voice mail system for the person you have called. Please leave a message at the tone.”
Press 9 during this message to begin your mailbox tutorial. Your default password is your mailbox number. If you main mailbox is 3199, and your sub-box number is 2, then your password is 31992. If your sub-box number is 14, then your password is 319914. If your mailbox is a three-digit number, then your password is that three-digit number. Please change your password during the tutorial to a four to ten digit number. Now refer to Step Number 1 on page 2 of your setup instructions to begin the tutorial.
If you or your receptionist need to forward a caller to voice mail, place the caller on hold, and speed-dial your voice mail number. When you hear the main greeting begin, enter the sub-mailbox number for the person the caller wishes to leave a message for. Immediately transfer the caller to voice mail so that the caller can hear the greeting of the person he or she is calling. Make sure you are using the correct forwarding procedure for the phone system in your office.
